Invoices, GST and Record Keeping for Freelancers

Freelance admin has a way of being ignored until March, when it becomes a weekend of reconstructing a year from bank statements. The alternative takes about ten minutes a month.

What an invoice needs
An invoice is not a formality. It is the document that proves income and supports every deduction you claim.
- Your name and address
- The client's name and address
- A unique invoice number, in sequence
- Date, description, amount
- Your GSTIN, if you are registered
- The place of supply, for GST purposes
On QwikJob an invoice is generated for every completed order, naming the freelancer as the supplier rather than the platform, because the freelancer is who supplied the work.

When GST registration applies
Broadly, service providers must register once turnover crosses twenty lakh in a financial year, with a lower threshold in some special category states. Below that, registration is optional, and selling through a marketplace does not by itself force it for services.
Registering voluntarily has a real cost: monthly or quarterly returns, forever. Do not do it casually.
Keep these four things
- Every invoice you issued
- Every receipt for a business expense
- Bank statements for the account you are paid into
- Your Form 26AS, which shows tax already deducted in your name
The ten-minute habit
Once a month, download the invoices, save the receipts to one folder, and check the total against your bank. That is it.
The point of records is not the tax return. It is being able to answer a question about last August without losing an afternoon.
